Reception / Front Office Assistant – Job Description
The Reception/Front Office Assistant serves as the first point of contact for students, families, staff, and visitors. This role supports the daily operations of the school by providing excellent customer service, maintaining an organized front office, and assisting with administrative tasks.
Key Responsibilities
Greet and assist students, parents, staff, and visitors in a professional and welcoming manner
Answer and route phone calls, emails, and inquiries promptly
Maintain visitor logs and ensure adherence to school safety and check‑in procedures
Support data processing, enrollment, attendance tracking, student early dismissals, and late arrivals
Assist with scheduling, filing, copying, and general office organization
Provide administrative support to school leadership and staff as needed
Manage incoming and outgoing mail and deliveries
Maintain confidentiality of student and school information

Proficiency with basic office software and equipment
Prior school or front office experience preferred

Physical Demands
Frequent sitting at a desk while performing computer and phone tasks
Regular standing, walking, and assisting individuals at the front counter
Occasional lifting, carrying, or moving of materials or office supplies (up to 20–25 lbs)
Reaching, bending, and filing in both low and high storage areas
Clear verbal communication to interact with students, families, and staff
Use of hands and fingers for typing, writing, and operating office equipment
Ability to Multitask
Demonstrated ability to manage multiple tasks and competing priorities in a busy school environment
Skilled at balancing phone calls, in‑person requests, and administrative duties simultaneously
